Reports To: Executive Director
Overview
The Office Manager is a leader in customer service, administration and office management. This position oversees and manages all office systems and provides administrative support to all departments. Responsibilities include bookkeeping, assisting customers, maintaining permits and business licenses, coordinating technology maintenance and ensuring a professional and productive office environment.

Key Responsibilities
Bookkeeping:
- Manages weekly bookkeeping processes
- Manages and collects accounts receivables
- Follows all financial policies and procedures
- Manages all monthly billings for Division of Services for People with Disabilities (DSPD)
Customers:
- Assists with reservations and answering customer questions
- Conducts customer satisfaction surveys by calling customers after their trip
General Administration:
- Maintains city, county, state, and federal permits and licensing
- Manages and maintains all business and vehicle insurances
- Ensures that contract requirements for DSPD are met and manages annual audit
- Takes notes during staff and board meetings
General Office:
- Ensures that there is coverage for Splore’s office Monday through Friday 9am to 5pm
- Answers the phone and directs callers to the appropriate party
- Purchases and maintains all office equipment, supplies and systems
- Provides I/T support and coordinates outside support, as needed
- Ensures that office and general areas maintain a professional appearance
- Work with building landlord as needed (rent, repairs, etc)
- Passion for Splore’s mission, vision and core values
- Experience in bookkeeping preferred
- Experience with office management and administrative duties preferred
- Outstanding organizational skills with attention to detail
- Excellent interpersonal communication and customer service skills
- Strong critical thinking skills and the ability to troubleshoot and solve problems
- Strong computer skills including intermediate or higher level proficiency in Quick Books, Microsoft Word, Excel, and other business and internet applications
- Ability to accommodate multiple responsibilities and shifting priorities
- Strong work ethic and commitment to delivering high-quality work

- Ability to work occasional weekend days and evenings
